ADMINISTRATIVE ASSISTANT I (PERM/FT/BENEFITS)
The Administrative Assistant I is responsible for performing routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, providing information to callers and other support work for a Department. Examples of Duties

- Review and/or prepares invoices, purchase requisitions and purchase orders for payment.
- Assists in the preparation of the department's budget.
- Receives and answers inquiries from employees and the public in the office and on the phone.
- Prepares or assists in the preparation of grant applications.
- Revises and develops forms; installs procedures for their use and instructs others in their application.
- Trains new team members or other staff on how to carry out work functions in accordance with Standard Operating Procedures.
- Advises the public and others of established interpretations of department and County laws and regulations.
- Manages paper or electronic filing systems, recording information, updating paperwork or maintaining documents, such as attendance records, correspondence, or other material.
- Composes correspondence. May take and transcribe dictation.
- Prepares reports as assigned; gathers and compiles statistical data nd prepares reports of findings. Enters and retrieves information using data entry devices, as required.
- Other duties as assigned.
Minimum Qualification Requirements
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of statistical analysis
- Knowledge of administrative and clerical procedures
- Ability to prepare various forms and documents, such as preparing grant applications, as applicable.
- Ability to type with accuracy.
- Strong interpersonal skills and ability to build relationships with a diverse range of stakeholders.
- Knowledge of budgetary practices and ability to manage budgets.
- Ability to develop plans, policies, and procedures.
- Ability to communicate effectively, both verbally and in writing.
- Knowledge of financial, accounting and business management principles.
- Ability to provide internal and external customer service in a courteous manner.
EDUCATION:
Completion of a High School Diploma OR Associate's Degree with coursework in Business Administration, Public Administration, secretarial or office administration.
EXPERIENCE:
Two (2) years to Four (4) years of administrative, secretarial or office clerical work.
LICENSE:
Possession of a valid Class "C" driver's license with no more than three (3) points. Please be advised this position requires a valid driver's license. Your application will not be considered if you fail to include the full driver's license number on the electronic application.
SAFETY:
Must comply with all Federal (OSHA), State of Maryland (MOSH), safety regulations, and applicable Harford County safety policies, procedures, or manual as required for this position.
Notes
- Candidate must have excellent computer skills and be proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint. Proficiency in Access is a plus.
- Candidates utilizing the degree option must provide proof of college degree.
